COACHING TERMS AND CONDITIONS 12.8.2024 – 1.6.2025, TABLE TENNIS, HELSINKI, JUNIOR COACHING

PRACTICE TIMES AND INQUIRIES

Approximately one week before the season starts, we will send an email notification to all participants, once the groups have been published. The groups will be available for viewing in TennisClub under Coaching / My Groups. Players who did not make it into the groups in the first phase will be notified separately by email.

COACHING VENUE AND SEASON

Coaching sessions will be held at Smash Center, Varikkotie 4 (about 500 meters from Itäkeskus metro station and 15 minutes from Rautatientori). The coaching season runs from Mon 12.8.2024 to Sun 1.6.2025. By registering for Smash’s junior coaching, the player commits to participating throughout the entire 2024-2025 indoor season, continuing in the same groups during the spring season without separate notification. Groups may be changed as necessary (the coach will decide the appropriate group based on the player's level), but no one will be moved to a new group without prior consultation and notification.

COACHING PLACE = COACHING SLOT

Each weekly practice session for a player constitutes one coaching slot. For example, if a player practices once a week, they have one coaching slot. Similarly, a player practicing three times a week has three coaching slots, and so on.

TERMINATION OF A GROUP MID-SEASON

Smash ry reserves the right to terminate a coaching group. Any potential termination will be communicated to the players at least 21 days before the last coaching session of the group. Efforts will be made to transfer the players from the terminated group to other groups if possible.

HOLIDAY PRACTICES

Coaching sessions will be held as usual on all holidays except Christmas (23.12.2024-1.1.2025), Easter (18.4.-21.4.2025), and May Day (1.5.2025). There will also be a break during the winter holiday from 15.2.2025 – 22.2.2025. Coaching will continue as usual during the autumn school break, Independence Day on 6.12., Epiphany on 6.1., and Ascension Day on 29.5. Smash ry reserves the right to make group changes during holidays.

BILLING

Billing is based on the assigned coaching group and the sessions from when the player joins - not on individual attendance. Autumn coaching sessions are billed in two installments, and spring sessions are billed in two installments. Invoices are sent to the email address provided in the registration form (for both information and billing purposes). The billing email should be the guardian's email. Participation in coaching requires the payment of previous coaching fees. Billing always occurs at the end of the period.

The season fee consists of billing periods (Note: see also the section "Termination of coaching mid-season"):

1. Period: 12.8.2024 - 13.10.2024

2. Period: 14.10.2024 - 22.12.2024

3. Period: 2.1.2025 - 16.3.2025

4. Period: 17.3.2025 – 1.6.2025

TRIAL SESSIONS AND BILLING

When a new player attends an agreed level test in a group, the test is free if it is determined that the group is not suitable for the player and no other suitable group places are available. This also means the player may not necessarily continue the full hour in practice (most practices are based on pair exercises and are chargeable for those already in the group). There can be a maximum of 2 trial sessions in different groups. If the player’s level allows them to stay the whole hour and a group place is assigned as a permanent spot after the level test, then the first trial session is also billed.

SIBLING DISCOUNT

If more than one junior from the same family participates in Smash ry's seasonal coaching, the family is entitled to a sibling discount. The most expensive coaching fee is paid in full by the first child, and the subsequent siblings receive a 10% discount on their coaching fees.

MEMBERSHIP

Participation in coaching requires membership in Smash ry. Participants will be enrolled as members of Smash ry if they are not already members. New junior coaching participants pay half of the 2024 membership fee, €10.00 (full year €40) with the first autumn practice fee and commit to following Smash ry's coaching and billing terms. The 2025 membership fee will be billed according to the club's usual practice, and no part of it will be refunded even if the coaching is terminated during 2025. Membership is ongoing until it is terminated in writing either in conjunction with the termination of coaching using the coaching termination form, by email to smash@smash.fi, or by mail to Smash’s office at Smash ry, Varikkotie 4, 00900 Helsinki. The departing member is obligated to pay the membership fee for the current year. Termination of coaching does not automatically terminate club membership, but it can be indicated on the termination form if membership is not desired in the following year. Membership is valid until the end of the calendar year after termination.

PLAYER CONTACT INFORMATION UPDATES

The player is responsible for maintaining their name and contact information. Changes to contact information should be made primarily by logging into the TennisClub system under the "My Information" tab. Changes can also be reported by sending an email to smash@smash.fi.

ILLNESS, INJURY, AND ABSENCES FROM COACHING, AND COMPENSATION SYSTEM

Any continuous absence of at least 4 weeks must be reported, and a medical certificate must be sent to the head coach of adult coaching, Ari Ahokas, at ari.ahokas@smash.fi. Such an absence of at least 4 weeks will be considered in billing, with a deductible period of two weeks from the notification date. Individual absences are not considered in billing. If the absence lasts longer than 4 weeks:

- The player must pay the coaching fee normally from the 4th week onwards if they wish to keep their place.

- Alternatively, the player can withdraw from coaching entirely upon submitting a medical certificate (in which case the place may be offered to others), paying only the deductible period of two weeks. Once recovered, the player can attempt to return to coaching groups via the waiting list maintained by the head coach of adult coaching.

Smash ry is not obliged to compensate for missed coaching sessions, nor are they refunded monetarily.

TERMINATION OF COACHING MID-SEASON

Termination of coaching mid-season must be done in writing by filling out the termination form. Termination takes effect at the end of the current billing period. Termination of coaching does not automatically terminate Smash ry membership, but it can be indicated on the form if membership is not desired in the following year.

If the player retains at least one coaching slot for the season, only an email notification to the head coach regarding the termination of other coaching slots is sufficient (billing for those coaching slots will end at the end of the current billing period).

Billing periods and last termination dates for billing periods:

1. Period: 12.8.2024 - 13.10.2024 (last termination date for the 1st period is 31.7.2024)

2. Period: 14.10.2024 - 22.12.2024 (termination for the 2nd period must be done by 16.9.2024)

3. Period: 2.1.2025 - 16.3.2025 (termination for the 3rd period must be done by 2.12.2024)

4. Period: 17.3.2025 – 1.6.2025 (termination for the 4th period must be done by 17.2.2025)

PHOTOGRAPHY

If a player does not want their photos to be used on Smash's website or publications, they must notify Smash ry at smash@smash.fi or mark the photo permission section in TennisClub as "NO".

ELECTRONIC NEWSLETTERS AND INFORMATION

The email address of the person registering for coaching will be added to Smash ry's electronic newsletter and information distribution list unless the player explicitly refuses. Electronic newsletters and information are a vital communication channel for Smash ry’s coaching, in addition to the website, so it is important to provide an email address that is regularly checked. Providing a phone number also significantly helps in notifying about, for example, sudden absences of a coach.

HEALTH AND INSURANCE

Each player is responsible for informing the coach of their health condition if it can affect their ability to perform all exercises fully. Each player must obtain their own insurance: Smash ry does not insure players participating in the practices.

SPECIAL NEEDS CONSIDERATIONS

In group coaching, we cannot accommodate individual players' special needs that would require separate assistance/assistant.

COACH'S ABSENCE

The group is primarily coached by the assigned coach. If the coach is absent, another coach from Smash ry will substitute.

BEHAVIOR

Players must treat other group members and the coach with respect. Swearing, racket throwing, and other inappropriate behavior are prohibited. If a player's actions cause damage to the court surface or other property, they are liable to compensate for the damages caused.

The club has the right to deny a player’s participation in coaching if disruptive behavior occurs regularly despite intervention. The first instance of disruptive behavior will result in a warning, the second in a written warning, and further participation in coaching will be denied for the remainder of the autumn/spring/summer season. If a single instance of a player's behavior is particularly severe, the club has the right to terminate the coaching agreement immediately for a fixed period or indefinitely. Coaching fees will not be refunded for this period.

OPERATION SUSPENSION

If we have to suddenly suspend a group's coaching session due to reasons beyond the club's control (e.g., power outage), the session will not be compensated monetarily. The missed session will be compensated either by adding credit to the compensation system (for sports where used) or by arranging replacement practices at a separately announced time.

INSTRUCTION LANGUAGE

The main language of instruction in coaching is Finnish, and communication is primarily in Finnish. Depending on the coach's language skills, coaching may be provided in other languages during the session.

CHANGES TO COACHING TERMS

Smash ry reserves the right to change the coaching terms even mid-season. In such cases, changes will be announced on the website and communicated to all participants in the coaching program via a common notification.
